Context
The wider situation.
Professional services firms that grow internationally often operate through several group companies, each with its own records and, in some cases, its own currency. Pricing, approvals and billing tend to develop separately in each part of the business, frequently in spreadsheets. Over time this makes it difficult to see the full commercial picture, to price similar work consistently or to reconcile transactions between the companies in the group.
Bringing these activities into one system of record addresses the fragmentation, but it raises the stakes for security and data quality. Financial and commercial information is sensitive, so access controls and hosting arrangements matter. Where AI is introduced, for example to help draft scopes of work, firms also need to define what information the assistant may use and where a person must review its output before it is relied upon.
The challenge
What needed to change.
Commercial and financial records were spread across spreadsheets and several group companies.
There was no single source of truth and no consistent way of pricing work.
What we did
Our approach.
Designed and built one platform for pricing, commercial approvals, billing and group-company transactions in multiple currencies
Added an AI assistant to draft work scopes from client requirements, with information handling and human review defined for the workflow
Hosted in the EU behind phishing-resistant sign-in and a private network
Included data-integrity checks in the release process
The engagement combined process design, software development and AI integration. One platform was designed and built to handle pricing, commercial approvals, billing and group-company transactions in multiple currencies. An AI assistant was added to draft work scopes from client requirements, with information handling and human review defined for that workflow. The platform is hosted in the EU behind phishing-resistant sign-in and a private network, and data-integrity checks were included in the release process. The platform is now in daily use.
Delivery perspective
The platform brings commercial workflows into one system, with AI-assisted drafting and defined human decisions.
Planning similar work
What similar organisations should consider.
Agree a single source of truth
Before building, agree which system will hold the authoritative record for pricing, approvals and billing, and how existing records will be brought across. Without that agreement, parallel spreadsheets tend to persist alongside the new platform. A single source of truth only delivers its value when people stop relying on the alternatives.
Standardise pricing before automating it
A platform can apply a pricing approach consistently, but it cannot decide what that approach should be. Agreeing how work is priced, and how approvals are given, gives the system clear rules to follow. Automating inconsistent practices simply makes the inconsistency faster and harder to notice.
Define AI handling and human review
When an AI assistant drafts content such as work scopes, set out what information it can access and where a person must review the result. These rules should be part of the workflow design, not an afterthought. They help protect sensitive information and keep commercial decisions with the people accountable for them.
Build integrity checks into releases
Financial systems depend on accurate data. Including data-integrity checks in the release process helps confirm that changes to the platform do not alter records unexpectedly. Combined with secure hosting and strong sign-in, these checks give users and management confidence that the records they see can be relied upon.
